Perennial Gathering 2026 at a Glance
The Perennial Gathering isn’t just another conference. Your fee includes a professional conference, leadership training, and restorative retreat—all integrated through Perennial’s soil-building and Leadership 3.0 methodology.
- Dates: May 31-June 4, 2026
- Location: The Prince Hotel, Karuizawa, Japan
- Attendees: 250 global leaders, including social innovators, philanthropists, policymakers, and representatives from civil society
- Experience: Professional conference, leadership training and retreat integrated into one intentionally paced experience. Includes: 4 nights of accommodation, all scheduled onsite meals, full program access and comprehensive visa support
Understanding Registration Costs
As a US 501(c)(3) nonprofit organization, we’re committed to full transparency about how your registration fee is structured. All pricing includes Japanese Consumption Tax (JCT), which is required by Japanese law for events held in Japan.
What is Japanese Consumption Tax (JCT)?
Japanese Consumption Tax is similar to VAT in Europe or sales tax in the US. It’s a 10% tax applied to all commercial transactions in Japan, regardless of whether the organization is for-profit or nonprofit.
- This tax is collected by us remitted directly to Japanese tax authorities
- It is not retained by Perennial or used for programming
- It is a legal requirement that applies to all attendees
- We show it separately to maintain full transparency
Registration Options & Pricing

Both accommodation options include the full Gathering experience. Choose the option that best supports how you rest, reflect, and connect.
Option 1: Cottage Setting
Private room in a shared cottage
Each cottage houses four participants, with each person having their own private bedroom and ensuite bathroom. The cottage includes a shared living space designed for informal connection—a place to gather in the evenings for tea, conversation, or quiet co-working, while maintaining the privacy of your own room for rest and reflection.

You appreciate organic moments of connection
You’re energized by a sense of shared rhythm with others
You value both intentional togetherness and personal retreat

- Partner-Supported Year 1 Registration Fee: $3,960 USD
- Japanese Consumption Tax (10%): $396 USD

Option 2: Hotel Room
Private hotel room
Hotel rooms are located within the main gathering space and offer more spacious, private accommodations. These rooms provide immediate access to all program spaces, dining areas, and the onsen facilities, allowing for maximum ease and convenience throughout the gathering.
This option may be best for you if:
- You prefer a more traditional hotel experience
- You value additional personal space
- You appreciate proximity to all program facilities

What's Included
Your registration includes:
- Accommodation — 4 nights in your choice of cottage or hotel room at The Prince Hotel Karuizawa
- All Meals — Breakfast, lunch, dinner, as well as hosted receptions (please indicate dietary restrictions when you register)
- Full Program Access — All sessions, materials, and curated experiences, supported by an on-site team providing seamless coordination, concierge-level care, and logistical support so participants can focus on what matters most
- Comprehensive Visa Support — Letters of Invitation and required documentation, with clear step-by-step guidance and coordination as needed—removing friction for international participants and making arrival straightforward
- Welcome & Closing Receptions — Intentional bookends to mark your arrival and integration
- Onsen Access — Access to natural hot spring facilities throughout your stay
What's Not Included
- International or domestic flights to/from Japan
- Train ride to/from Tokyo and Karuizawa
- Travel insurance (strongly recommended)
- Personal expenses (souvenirs, additional personal items)

Registration Timeline:
We’re inviting participants to register in small cohorts. Your registration is not guaranteed until payment is received, so please complete your registration promptly to secure your spot.Once registration capacity is reached, we’ll begin a waitlist for future gatherings.
Note: When you click ‘Complete Registration’ below, you will be directed to our secure registration platform (Luma). The prices shown there will reflect the total cost including Japanese Consumption Tax (JCT). The checkout page will display an itemized breakdown showing the registration fee and tax separately.

You’ll receive an email confirmation immediately after registration with:

For Attendees Requiring Organizational Invoices:
If you need a formal invoice for reimbursement from your employer or institution, our confirmation email will include an itemized breakdown suitable for expense reporting. If you need additional documentation, please email info@perennial.org after registering.
